HOW MUCH
WILL IT COST?
When we engage with a new or prospective client, this question often arises early in our discussions. We completely understand your concern, as managing your business expenses is crucial, especially during the initial stages. We can all relate to the frustration of browsing through a website and wondering, “That looks fantastic, but will it fit my budget?”
We wish we could provide a straightforward answer in one line or share a fixed pricing list so you would know our fees before we even meet; however, doing so would be exceptionally challenging—nearly impossible—for several reasons:
WHAT CAN YOU TELL US ABOUT YOUR PRICING?
We are unable to quote an exact figure until we have had a conversation to better understand your business and specific requirements. That said, we can provide a few illustrative scenarios to give you a general idea of the investment range and how our pricing is typically structured. Here are some examples to get you started:
“I manage my records in Xero and would like support with preparing my financial statements and submitting my tax returns.”
Sandra runs a retail store specialising in Harry Potter products, with an annual revenue of £375,000. All sales are processed through her EPOS system, which connects directly to Xero, ensuring each transaction is automatically logged.
She uses Dext to capture and process supplier invoices, and this software also syncs seamlessly with Xero. Her bank transactions are imported into Xero via a live feed, and she completes reconciliations daily.
At present, Sandra is comfortable handling the day-to-day bookkeeping herself. However, she requires assistance with her annual accounts, payroll for two employees, and the preparation and filing of her tax returns.
She has begun considering whether more frequent reviews of performance indicators—such as margins and cash flow—would be beneficial, though for the time being she finds Xero sufficient for her needs.
Her monthly fee for these services is £240 plus VAT.
“I do not have the time or desire to deal with the numbers. I would prefer to concentrate on running my business and have you handle the financial side.”
Carlos operates a VAT-registered double-glazing business with an annual revenue of £500,000. He works with three subcontractors and employs two staff members.
He uses Xero to issue customer invoices and uploads receipts and supplier bills through Dext, but beyond that, he leaves the financial administration to us. Typically, he sends out around eight sales invoices each week and logs roughly ten supplier invoices. All business activity runs through his dedicated company bank account, which sees between 80 and 100 transactions per month.
For a monthly fee of £384 plus VAT, we manage everything on his behalf, including bookkeeping, statutory accounts, VAT submissions, payroll processing, CIS reporting, and tax returns.
“We are comfortable managing the books ourselves. What additional support can you provide?”
Corine leads a creative agency with an annual revenue of £1.3 million and a team of 12. Her internal staff take full responsibility for recording transactions and maintaining the accounting system, and they do so competently.
Our involvement is more strategic. We provide oversight of the finance function, ensure compliance with all obligations, prepare the annual financial statements, manage payroll, and complete all relevant tax filings.
Every quarter, we also deliver detailed management reports that give Natalie meaningful insight into the company’s financial health. This includes analysing profitability trends, monitoring performance metrics, and reviewing project outcomes to confirm they are delivering the anticipated margins. These reviews allow us to proactively identify and advise on potential tax efficiencies during the year.
The investment for this level of support is £613 plus VAT per month.
“I have a buy-to-let property and need someone to take care of my annual tax return.”
Ben works full-time and receives a salary through PAYE, but he also earns income from renting a property. Because of this additional income, he must file a self-assessment tax return each year.
He keeps track of the rental figures himself using a simple spreadsheet to record income and allowable costs. When the tax year ends, he sends us that summary along with his P60 so we can prepare his return accurately.
Once we have completed the draft tax return and he has approved it, we arrange submission to HMRC.
The annual charge for this service is £350 plus VAT, payable prior to filing.
“I work for myself and need assistance with filing my tax return.”
David is a sole trader electrician who mainly carries out work for two ongoing contractor clients. As he is not on payroll, he is responsible for declaring his own income and expenses each year through self-assessment.
He keeps his costs under control by uploading receipts to Dext, typically logging around 5 business expenses per week. At the end of the tax year, we use his income details and recorded expenses to prepare his tax return.
Once the return has been prepared and approved, we submit it to HMRC on his behalf.
The yearly fee for this service is £425 plus VAT, payable before submission.

How much do you want to manage by yourself?
Business owners typically fall into three groups. Some prefer to have no involvement in bookkeeping, accounts, payroll, or tax returns. Others handle basic tasks, such as recording sales and purchases using tools like Xero or Receipt Bank, but find more complex tasks overwhelming. The final group has in-house support or the skills to manage bookkeeping to an advanced stage. As the level of involvement varies, pricing cannot be one size fits all.
